ReadyFill is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, who we share it with, and your rights regarding your data. Please read this policy carefully before using the ReadyFill application.
By using ReadyFill, you agree to the collection and use of information as described in this policy.
1. Who We Are
ReadyFill is a marketplace hub connecting people and businesses with immediate solutions across a range of project needs — including bulk materials (such as fill, topsoil, mulch, and aggregate), equipment hire, and other project resources. We operate a mobile application (iOS and Android), a web portal, and a supporting backend.

2. Information We Collect
2.1 Information You Provide
Account Registration:
- Mobile phone number and country code
- Email address
- First and last name
- Profile photo
Business Accounts (additional):
- Business name
- Australian Business Number (ABN)
- Business contact name and email
Job and Listing Information:
- Listing type (material, equipment, or other resource)
- Material type, quantity, unit, and description
- Equipment type, specifications, and availability
- Job or listing location (address or GPS coordinates)
- Preferred radius for matching
- Photos of materials, equipment, or sites
- Scheduled dates and pricing
Communications:
- Chat messages sent between users within the app
- Contact enquiries submitted to ReadyFill support
Payment and Subscription:
- Subscription plan selection
- In-app purchase receipts
- Payment status (processed and stored by Stripe — we do not store raw card details)
2.2 Information Collected Automatically
Location Data:
- Precise GPS coordinates when you create a job or equipment listing, or view the live jobs map
- Location is used to match you with relevant opportunities and to display your listing on the map
- Location access requires your permission and can be revoked at any time in your device settings
Device and Technical Data:
- Device type (iOS or Android)
- Push notification token (used to deliver notifications to your device)
- Advertising identifier (Android)
- App version
- Error logs and diagnostic data (see Section 4)
Usage Data:
- Actions taken in the app (account creation, job posting, quote interactions, app opens)
- Login timestamps
- Feature usage patterns
3. How We Use Your Information
We use the information we collect to:
- Create and manage your account
- Verify your identity via one-time password (OTP)
- Match your listings with relevant buy, sell, hire, or supply opportunities
- Display your job and equipment listings on the live jobs map
- Facilitate real-time chat between buyers and sellers
- Process subscription payments and manage your plan
- Send push notifications about job matches, quotes, chat messages, and account updates
- Provide customer support
- Monitor app performance and fix errors
- Improve the app's features and functionality
- Comply with legal obligations
4. Third-Party Services
To operate the ReadyFill platform, we use the following third-party services. Each receives certain data as described below.
Google / Firebase
ReadyFill uses several Firebase services provided by Google LLC:

Google Maps Platform
Used to display the interactive job map, allow location selection, and geocode addresses. GPS coordinates and address searches are transmitted to Google's servers.

Apple App Store / Google Play
In-app purchases made through iOS or Android are processed by Apple or Google respectively. Purchase receipts are verified through their servers.
Sentry
Used for error monitoring and crash reporting. When the app encounters an error, diagnostic information including stack traces, device type, app version, and an anonymised user identifier may be sent to Sentry. Sentry's servers are located in the United States.

Twilio
Used to send one-time passwords (OTP) for phone number verification. Your phone number is transmitted to Twilio to deliver the verification SMS.

5. Location Data
ReadyFill requests access to your device's location to:
- Pre-fill your location when creating a job or equipment listing
- Display nearby listings on the live jobs map
- Match listings by proximity
Location data is stored with your job and equipment listings and is visible to other users on the map. We do not track your location continuously in the background. You can disable location access at any time in your device settings, though some features (such as creating a listing or viewing the map) may not function without it.
6. Data Sharing
We do not sell your personal information to third parties.
We share data only in the following circumstances:
- With other ReadyFill users: Your name, general location, and listing details are visible to other users when you post a job or equipment listing. Your profile photo and first name are visible in chat.
- With service providers: We share data with the third parties listed in Section 4 solely to operate the app. These providers are contractually bound to protect your data.
- For legal compliance: We may disclose data if required by law, court order, or to protect the rights and safety of ReadyFill, our users, or the public.
- Business transfers: In the event of a merger, acquisition, or sale, your data may be transferred as part of that transaction. We will notify you before this occurs.
7. Overseas Data Transfer
Some of the third-party services we use — including Firebase, Sentry, and Stripe — may process and store your data on servers located outside Australia, including in the United States and other countries.
Where we disclose personal information to overseas recipients, we take reasonable steps to ensure those recipients handle your information in accordance with the Australian Privacy Principles. By using ReadyFill, you consent to this transfer.
8. Data Storage and Security
Your data is stored across:
- Our backend servers hosted on AWS (Sydney region, ap-southeast-2)
- Google Firebase infrastructure (global)
- Your device (encrypted local storage)
We take reasonable technical and organisational measures to protect your data from unauthorised access, alteration, disclosure, or destruction. These measures include HTTPS encryption for all data in transit, access controls, and regular security reviews.
No method of transmission or storage is 100% secure. If you believe your account has been compromised, contact us immediately at info@readyfill.com.au.
9. Data Retention
We retain your personal information for as long as your account is active or as needed to provide our services.
- Account data: Retained while your account is active. If you delete your account, your data is soft-deleted and fully purged after 30 days.
- Chat messages: Retained while the associated chat room is active.
- Job and equipment listings: Retained until you delete them or they expire.
- Analytics and error logs: Retained in line with the retention policies of Firebase and Sentry respectively (typically 14–90 days).
- Payment records: Retained as required by Australian financial and tax law.
10. Your Rights
Under the Australian Privacy Act 1988 and the Australian Privacy Principles, you have the right to:
- Access the personal information we hold about you
- Correct inaccurate or out-of-date information
- Request deletion of your account and personal data
- Withdraw consent for location access or push notifications via your device settings
- Lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au

11. Children's Privacy
ReadyFill is intended for use by adults (18 years and over) in a commercial or trade context. We do not knowingly collect information from children under 18. If you believe a minor has created an account, please contact us and we will remove it promptly.
12. Push Notifications
We send push notifications for new job matches, chat messages, quote updates, and important account or service information. You can manage or disable notifications at any time in your device settings.
13. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you via the app or by email. The updated policy will show the revised date at the top of this document. Continued use of ReadyFill after changes are posted constitutes acceptance of the revised policy.
